Registration

Registration Form

⚠️ When you submit your Registration, you will need to go all the way down to the end of the second page and click on the Submit button.

Fees, Registration Priority and Payment

  • Single: 1 000 000 VND

  • Double: 500 000 VND per player, so one pair for double needs to pay 1 000 000VND.

    • When filling in the registration form, you will need to provide contact details of your Double Partner (second page after you click the button Next).

Registration is on a "first come, first served" basis. However, the player will forfeit their spot if payment is not made within 1 week after submitting the Registration form.

We will constantly monitor the number of registrations and update the Google form when a category is full. At this point, interested participants can continue to register, but they will be put on a waiting list. If you’re on the waiting list, please do not submit any payments.

How to pay:

  • Direct online payment to charity partner: https://give.bluedragon.org/fundraisers/charity-tennis-tournament

    • You and JC (organizer) will receive an automatic confirmation email to inform that the payment has been received

    • you can donate anonymously and simply indicate a message so I can match the payment with your registration:

  • Payment in cash to JC (we need some payments in cash to cover expenses)

Registration Status

We will keep track of registrations and payments in this spreadsheet so you can keep track of your own registration and payment:

https://docs.google.com/spreadsheets/d/11aiLbTfMhdwdjBtjFxrV5qEFto7KmrWRL9xEA7TAOtg/edit?gid=0#gid=0

⚠️  We should update the file about once a day (manually).

Event Cancellation

There is very low risk of event cancellation. The courts have been booked in advance, and the roof will mitigate any weather disruptions. Also, there are multiple organisers involved in case of personal emergencies. In the worst case, the tournament would be rescheduled to a later date.

Participant Withdrawal

  • The player who withdraws is responsible for finding his or her own replacement. Please inform the organisers prior to the day of the event. No refund will be given. Players participating in doubles will need to make arrangements with their own partner.

  • The tournament organizers will keep a waiting list of interested players. The withdrawing player can consult with the organizers for a replacement. We will connect the two parties, and you can make arrangements among yourselves regarding reimbursements.

Categories

There will be a total of 14 categories, with 6 players/team per category. This will allow the opening of more than 100 player registrations.

By having many categories, we can better manage the number of matches each individual/pair will have to play while ensuring appropriate matching of level among the participants.

Every player should expect to play 3 or 4 matches per category. However, it is possible to play fewer matches due to no-shows.

Players are allowed to participate in up to two categories, one in singles and one in doubles.. It is possible to request for participation in a 3rd category (please consult the organisers about this).

We will have a waiting list for each category to help players find a replacement. Please try to notify the organisers as soon as possible if you need to withdraw.

The list of categories and their description is available on the Registration form here.

Matches

Tournament Structure

All categories will follow the same structure:

  • Round Robin: 2 groups, each with 3 players/pairs

    • each player/pair will play 2 matches (one against each of the players/pairs in the group)

  • Main Draw: The top 2 players/pairs of each group will proceed to the next round. There will be

    • 2 semi-finals

    • 1 final

    • 1 match for 3rd place

  • Consolation Draw: The 3rd player/pair of each group will play one match for 5th place

Number of matches played

All players/pairs will play 2 matches within the Round Robin. First and second place players/pairs of each group will play 2 additional matches in the Main Draw. The third place players/pairs of each group will play 1 additional match in the Consolation Draw.

Match Scheduling

We will do our best to organize the matches to:

  • Minimize your breaks between matches

  • Allow for a lunch break at some point

We will communicate the schedule real time so you can minimize your waiting time between the matches and you can prepare yourself timely.

Here is what the schedule SHOULD look like. Please note that the schedule is subject to changes based on the duration of the matches and availability of the courts.Possible planning (not confirmed)

Each cell follows a standardized format:

  • First part is the type of Match

    • RR: Round Robin (group phase)

    • 5th: match for the 5th place

    • 1/2: semi-finals

    • 3rd: match for the 3rd place

    • 1st: match for the 1st place

  • Second part is the category

    • S Men A = Single Men A

    • D Women A = Double Women A

    • ...

  • Third part is a number (1 or 2). This is used to indicate group number during round robin and to distinguish the semi-final matches

In the event of significant schedule overrun, which can happen if matches last longer than expected or players arrive late, we will cancel the Consolation Draw matches (5th place). Nevertheless, we do not anticipate any match cancellation.

Match Formats

Fast 6

This is the only format used in the tournament. The format is as follows:

  • One set only

  • First to 6 games

  • All the possible rules to make it fast:

    • Golden ball at deuce

    • 7-point tiebreak at 5-5

      • Golden ball at 6-6 during tiebreak

Self-referee

As this is a Charity Tournament, we want to limit the expenses in order to maximize the donation amount. Therefore, there will be no referee. Please make your own line calls with honesty and respect (winning prizes will not be monetary, nor will they be of any significant value).

Ball-boys
There should be ball-boys on court for all matches to help speed up the matches and keep the tournament on schedule.

On-Court Etiquette

Tennis is a game of skill, sportsmanship, and mutual respect. Whether you’re playing a competitive match or just for fun, please follow these simple etiquette rules to keep things fair, enjoyable, and smooth for everyone.

🧑‍⚖️ Line Calls

  • Make your own calls clearly and honestly. If you’re unsure, the ball is in. The player on the side with the ball should make the call.

  • Respect your opponent’s calls—unless there’s an obvious mistake.

  • If there’s disagreement and no resolution, replay the point.

⏱️ Pace of Play

  • Keep the game moving: 20 seconds max between points.

  • Don’t linger or take breaks mid-game—no bench breaks during a service game.

  • When switching sides, minimize break time at the bench.

  • Arrive on time (at least 15 minutes before the previous match is expected to finish so you can start your on-court warm-up as soon as possible).

    • If you’re running more than 5 minutes late, one game will be given to your opponent.

    • Over 10 minutes late, your opponent will win as WO.

🗣️ Communication

  • Call the score out loud before every serve.

  • Confirm the score if there’s any confusion or after long rallies.

  • Grunting and emotional reactions are natural—but don’t be excessive or disruptive.

🎾 Ball Management

  • Always clear loose balls from your side before starting a point.

  • If you’re distracted by a ball you didn’t clear, the point does not get replayed.

🧼 Court Respect

  • Keep the court tidy. Bring your own water and towel—and clean up after yourself.

  • Don't interrupt other matches, especially during play.

❤️ General Sportsmanship

  • Shake hands (or racquet tap) after every match.

  • Smile, enjoy the game, and help build a positive tennis community.

Before the Match

  • Register with the organizer 30 min before your first match

  • Be ready 15 minutes before the first match

  • Start your warm up off court

  • Warm-up: 5 min on-court warm-up as soon as the previous match finishes

    • Please be strict with the warm-up time so we can get through all the matches

    • Any additional warm-up should be done off court prior to the start of the match

  • Balls will be provided by the tournament organizers (expected to be Wilson Championship a.k.a Wilson red)

Round Robin Ranking

Round Robin Ranking will be determined in the following order:

  • 1) Win/Loss difference (W/L difference):  players are ranked first by number of matches won. (e.g. 3-0 beats 2-1)

  • 2) Game difference: If two players have the same number of wins, their net games won across all matches will be used to determine the ranking (e.g., +8 beats +5).

  • 3) Head-to-head result: If still tied, the head-to-head result (who beat whom) between the tied players will be used.

Personal Organization

At the tennis club:

  • Drinks and basic food can be purchased. (we will try to arrange multiple options for food)

    • The court is located near Vinhomes Grand Park, where you can find multiple restaurant options for lunch. Check the following map: here

Ceremony

An Award Ceremony will be held at the tennis club right after the last match.

Depending on the final schedule, the awards ceremony might be split into 2 phases: Morning Categories (singles) and afternoon categories (doubles). This will be confirmed later.

Winners will receive trophies and medals (no monetary prizes).

There will be a lucky draw, with vouchers and gifts from our sponsors, during the Award Ceremony. This is only available to those attending the ceremony, so please stay and celebrate with us! If you’re in a match during the Morning award ceremony, we will of course keep your gifts for you.

Q&A

Questions and Answers

We are looking for volunteer(s) to be our photographers for the tournament. If you know anyone who would like to help, please put them in touch with us.

During the tournament, please feel free to take as many photos as you’d like by yourself (without creating any disruptions). We’d love it if you could share them with us, and we will include them in the album, which will be shared on Google Drive.

We hope to be able to use the photos to promote future charity tournaments. However, if you’d like to be excluded, please let us know.

Unfortunately, this is a possibility, as there could be last-minute withdrawals (injuries, emergencies, etc.) or schedule overrun. In our last tournament, we were able to find substitutes for both singles and doubles. We will try to do the same this time so that you can play all the matches (you will still get the WO).

While this is a challenging situation, we will do our best to accommodate both players. We hope for your understanding.

The play schedule will be released in the Whatsapp group, and it will be updated throughout the day. Please check the play schedule constantly and discuss any concerns with our organizers.
